How Automated Candidate Engagement Works

Hellohire helps streamline your candidate communication process by automatically sending interview invitations and follow-ups to qualified candidates. Here's how the Engage feature works and how you can customize messages at every stage.


Navigating to the Engage Tab

1. Log in to Your Hellohire Account


Go to 
https://www.tryhellohire.com and log in with your credentials.


2. Go to the Jobs Section


Click on “Jobs” in the upper left corner of your screen.



3. Select the Job


Choose the job for which you’d like to set up Engagement.


4. Open the Engage Tab


Click on the “Engage” tab to get started and follow the steps below.



Step 1: Initial Message Invitation


When a candidate’s responses to pre-screening questions meet your interview criteria, Hellohire automatically sends them an Initial Message via email and SMS/text message, inviting them to schedule an interview.

  • Email
    The subject line and email content can be fully customized to suit your tone and branding.
  • SMS/Text Message
    The message content can be customized to ensure a clear and personal invitation.


Step 2: 24-Hour Follow-Up Message


If the candidate has not responded or scheduled an interview within 24 hours of receiving the Initial Message, Hellohire sends a Follow-Up Message via email and SMS.

This message reminds the candidate to schedule their interview and gives them another chance to respond.

  • Email
    Subject and content of the follow-up email can be customized. 
  • SMS/Text Message
    Follow-up text message content can also be edited to better suit your communication style. 


Step 3: Re-Engagement Messaging (Optional)


If the candidate still hasn’t responded after the Initial and 24-Hour Follow-Up messages, you can choose to enable Re-Engagement Messaging.

How to Enable:

  1. Toggle on the “Re-engagement Message” to activate.
  2. Set the number of days (between 1–7 days) after which the re-engagement message should be sent.
  • Email
    Subject line and message content are customizable.
  • SMS/Text Message
    You can customize the final re-engagement text message to reflect urgency or a last opportunity to book.


Note: When we engage, both the email and SMS/Text Message are sent simultaneously. However, all SMS/Text messaging is currently supported only in the 
USA and Canada. If you're located outside of these regions and would like to request access, please contact our support team or reach out to your Account Manager. We're happy to review your request—please note that availability may vary by country due to regional regulations and associated fees.
