How are duplicate candidates handled in Hellohire?

Modified on Thu, Apr 9 at 11:38 AM

Hellohire is designed to automatically prevent and manage duplicate candidate records—so your pipeline stays clean and organized without any manual effort.

Duplicate Prevention at the Invite Stage

  • When inviting candidates, Hellohire checks for existing records using:
    • Email address
    • Phone number
  • If a match is found, duplicate entries are automatically filtered out, ensuring candidates don’t receive multiple invites.

Automatic Record Consolidation

  • If duplicate records are created (e.g., a candidate applies via email and later via phone):
    • Hellohire automatically merges them once the candidate is scheduled
    • All activity and history are preserved under one unified profile

Smart Re-engagement

  • If a previously invited candidate:
    • Didn’t respond, and
    • Later reapplies or is re-invited
  • The system will update the existing record instead of creating a new one.

Single Candidate View Across Stages

  • In multi-stage jobs:
    • Each candidate appears only once
    • They are shown at their furthest stage
  • This provides a clean, deduplicated pipeline view

Seamless Account Linking

  • When a candidate creates an account after being invited:
    • Hellohire automatically links their previous activity
    • No history or data is lost

Everything is handled automatically behind the scenes—so you can focus on hiring, not data cleanup
