Registration Limit

Each Interview session allows a certain number of candidates to register. The maximum number of candidates who can register for a session is that session's “Registration Limit”. Hellohire takes care of calculating the Registration limit for you, but if you're curious about how it works we'd like to demystify it for you!


The Registration Limit is calculated for each of your online Interview sessions based on a few inputs:

Where to find it

Interview length

The interview length is the amount of time scheduled to speak with each candidate. The candidate and interviewer see a countdown timer with the remaining interview time during their conversation. A short interview length allows your team to meet more candidates.

Interview length is set on the Availability tab and applies to all sessions.

Overbooking rate

The Overbooking rate allows extra candidates to register for your online Interviews. We'd all love every candidate to show up for their interview, but that's often not how candidates behave. As you get to know your candidate community you can increase or decrease the Overbooking rate to efficiently use your team's time and give as many candidates as possible an opportunity to interview. We recommend starting with a 25% Overbooking rate and adjusting after you conduct a few sessions.

Overbooking rate is set on the Availability tab and applies to all sessions.

Session duration

The Session duration is the length of time scheduled to meet with candidates. We recommend 1-hour or 1.5-hour sessions: long enough to allow your team to meet with many candidates but short enough that candidates can be confident they will be available during the session they register for.

Session duration is set for each session when adding or editing the session. You can schedule sessions of different lengths to best fit your team’s calendar.

Number of interviewers

Adding multiple interviewers allows more candidates to register for the session. Two interviewers can meet twice as many candidates in the same amount of time. You can add any number of interviewers to your online Interview sessions.

Number of interviewers is set for each session when adding or editing the session. You can have different interviewers for your sessions.

Examples

Kim, José, and Manpreet are members of a talent acquisition team working together to fill a role. They want to meet with candidates every weekday and offer candidates a morning and afternoon option for their online interviews.


Based on past experience recruiting for this role, more candidates are available in the afternoon.


Approximately two-thirds of the candidates who register for a job interview have been showing up.


They decide to schedule two Interview sessions every day, from 10:00am - 11:00am and from 3:00pm - 4:30pm. 


They know what they’re looking for when they meet candidates and can evaluate them effectively with 5-minute interviews.


José takes the morning session from 10:00am - 11:00am. Kim and Manpreet work together to meet more candidates during the 3:00pm - 4:30pm afternoon session.


They set up their online Interview with

  • Interview length: 5-min

  • Overbooking rate: 50% to fill all of their time

They set up their 10:00am - 11:00am session (60-min Session duration) with José (Number of interviewers = 1).

The resulting Registration limit is 18.

Each morning 18 candidates will be able to register for an online Interview.

The resulting Registration limit is 54.

Each afternoon 54 candidates will be able to register for an online Interview.
