How to Schedule Job Interview Sessions

Create a Job Interview

Job Title

The job title is displayed on your event's registration page and in the event. To edit the job title, select the pencil icon found beside the name. 



Schedule Sessions

You can have multiple interview sessions for the same job. Candidates will be able to select a session when they register for their interview.


Edit

To configure a session, click the edit (pencil) button.

To give candidates a choice of when to a attend their interview, you can create additional sessions.

Candidate registration limit

The candidate registration limit is calculated based on the following event properties: event duration, interview length, overbooking rate, and the number of interviewers. Once the limit is reached candidates will no longer be able to register to interview during this session.


Hellohire will provide candidates with a time to arrive for their interview based on the event duration, interview length, overbooking rate, and the number of interviewers. 


Interview Length

The length of time you will meet with each candidate. Back-to-back online interviewing allows you to meet many candidates to decide who would be best for your team. We recommend making your interviews as short as possible to meet as many candidates as you can.


Overbooking Rate

A percentage of candidates will register for an interview but will not show up. You can allow extra candidates to register to interview to balance out the no-show rate.


Date

Select a date to conduct your online interviews.


Start and End time

Select the time when the session begins and finishes.


Time Zone

Select the time zone in which the interviews will take place. Communication regarding the session will be sent with the set time zone. 


Interviewers

Add the members of your team who will be interviewing candidates. Each interviewer you add increases the registration limit as you will have more team members available to meet with the candidates.


If a member of your team who will be interviewing candidates is not on the list of interviewers, you will need to add them to your account.

Your Scheduling page is where candidates will sign up for their interviews. Your scheduling page can also contain additional information which would be useful for candidates to know before their online interview.


Registration and Screening Questions

Add pre-screening questions to gather information from the candidates as they register. The answers to their registration questions will be available to you in the interview session reports and will be visible while you are interviewing the candidate.

Provide a text description for candidates to read before they register.



Videos

More than half the time spent in screening conversations with candidates can be spent providing each candidate with the same information about the opportunity for which they are applying. Record a video with your phone or webcam where you tell the candidate about the opportunity. 


Pre-interview video

Candidates can watch this video before their online interview so that your time with them is spent getting to know them rather than delivering the same information each time.

Waiting in queue video

This video is shown to the candidates as they are in the queue waiting for their interview and can be used as a way to share any additional information with candidates.


Options for adding a video

  • Upload a video file
  • Video recording


Score Card

Ratings are displayed when in 1:1 interviews with candidates. Each rating is displayed on a 5-point scale.


Add criteria

The quality on which you are evaluating the candidate. 

Examples: Communication, Enthusiasm, Sales Experience, Technical Experience, etc.



Settings

"Contact Us" form email

Every registration page contains a "Contact Us" form so that candidates can reach out to the team with any inquires they may have. Specify the email address to receive submissions to this form. The email address will NOT be displayed to candidates.


Language

Select the default language for registration and event. Note that communication SMS and emails (sign ups, reminders) will be the language you select.
