How to Set Up Virtual Job Interview Sessions

Efficient scheduling is key to a smooth hiring experience—for you and your candidates. With Hellohire, setting up virtual interview sessions is straightforward and flexible. This guide will show you how to configure your schedule with ease. Let’s dive in!



Setting Up Virtual Job Interview Sessions

Step 1: Log in to Your Hellohire Account


Go to https://www.tryhellohire.com and log in with your credentials.


Step 2: Navigate to the Jobs Section


Click “Jobs” in the upper-left corner of your dashboard. 


Step 3: Select a Job


Choose the job for which you’d like to set up virtual interview sessions.



Step 4: Open the Schedule Tab


1. In the right-hand menu, click the “Schedule” tab.


2. Under Interview Length, use the dropdown to set how long each interview should be.


3. Use the next dropdown to choose how many days in advance candidates can schedule interviews.



4. Click “Edit Calendar” to set your interview availability.


5. Click “Connect Calendar” to sync with Hellohire so candidates can book interviews based on your real-time availability without conflicts. 



Step 5: Choose a Scheduling Type


You’ll see two scheduling options. Choose one based on your preference:

Option 1: Bulk Scheduling (Back-to-Back Interviews)


This option allows you to set a block of time during which multiple candidates can be scheduled back-to-back.

How to set up:


1. Add your availability by selecting the days and times you’re available.

  • Click “+ Add Availability” to add more slots.
  • Click the trash icon to remove a time slot. 


2. Select your timezone from the dropdown menu.



3. Set Calendar Buffer Time — choose the amount of time (in minutes) between Hellohire sessions and other events in your calendar.



4. Set Hellohire Session Buffer Time — choose the time (in minutes) between back-to-back interview sessions.



5. Set Maximum Interview Time Per Day — define how many hours per day you’re available for interviews.



6. Set Minimum Scheduling Notice — decide how far in advance (in hours) candidates must schedule. 



7. Click Save to apply your settings.


Option 2: Individual Scheduling (One-on-One Sessions)


This option allows candidates to book individual interview times separately.


How to set up:


1. Add your availability by selecting days and times.

  • Click “+ Add Availability” to add more.
  • Use the trash icon to remove any slot.



2. Select your timezone from the dropdown.



3. Set Calendar Buffer Time — define the buffer time between Hellohire sessions and other calendar events.



4. Set Minimum Scheduling Notice — define how many hours in advance a candidate must schedule. 



5. Click Save to apply your settings.

Note: The Hellohire Session Buffer Time and Maximum Interview Time Per Day settings are not available in Individual Scheduling mode.


And that’s it—you’re all set! Once your interview schedule is live, candidates will be able to book times that work for them, saving you time and keeping the process organized.



Additional Helpful Details:

After clicking the job, you’ll see two buttons in the upper-right corner of your screen: “Add Candidates” and “Go to Interview.” 




To add candidates for interview invitations:


Click “Add Candidates” and choose one of the following options:


1. Forward resumes by email


Send candidate resumes to the provided email address (copy the link shown). Hellohire will automatically extract candidate information and engage them via email and SMS. 



2. Manually add candidates


Upload a list of candidates or Add a single candidate. Hellohire will then contact them through email and SMS.



3. Share your scheduling link


Copy your unique scheduling link and share it with candidates via email, text message, or any messaging platform.




To join an interview session:


Click “Go to Interview” to access the interview session where you can meet with your candidates.
