How to Set Up Onboarding Document

After a successful interview, you may need to collect additional documents or information from candidates before moving forward with hiring. Hellohire makes this easy with a built-in onboarding feature that allows you to securely request files or text-based inputs from candidates who receive a "Yes" interview outcome.

Here’s how to set it up:

Step 1: Log in to Your Hellohire Account


Go to https://www.tryhellohire.com and log in with your credentials.

Step 2: Go to the Jobs Section


Click on “Jobs” in the upper left corner of your screen.



Step 3: Select the Job


Choose the job for which you’d like to set up onboarding document collection.


Step 4: Open the Onboarding Tab


Click on the “Onboarding” tab to get started.



Step 5: Enable Document Collection


Toggle on “Collect Information From Candidates.”


1. This activates the onboarding flow for candidates who receive a “Yes” outcome.


2. Once toggled on, candidates will automatically receive a secure link via email and SMS prompting them to submit the requested documents or information.


3. Hellohire will also send automated reminders via email and text until all required items are completed.



Step 6: Add Onboarding Items


Click “Add an Item” to request a document or piece of information. A prompt will appear where you can:


1. Enter a description of the item you’re requesting.


2. Select the Document Type:

  • File Upload: Candidate uploads a single file (max 10MB).
    Supported formats: .pdf, .docx, .txt, .jpeg, .jpg, .png
  • Text Input: Candidate types in detailed information.
    Ideal for: ID numbers, written references, or other text-based responses.


3. Tick “Make this document required


4. Click “Save” to add the item.


Note: You can add multiple items and both document types, but each must be created one at a time.



Step 7: Preview the Candidate Experience


Click “Preview Candidate View” to see exactly what the candidate will see when they receive the onboarding request.
