How to Adjust Calendar Availability in Hellohire

If you need to adjust your availability—such as blocking off time each day (e.g., a daily 1-hour break)—you can easily do this through your scheduling settings in Hellohire. 


How to Block Time Daily (e.g., 1 Hour Each Day)

To block off time (like a daily break or recurring appointment), you have two options:


Option A (Recommended): Use Your Connected Calendar

  • Add a recurring event (e.g., daily 12:00–1:00 PM) in your Google or Microsoft calendar.

  • Hellohire will automatically block this time from your scheduling page.



Option B: Adjust Availability in Hellohire

  • When setting availability, exclude the time range you want blocked (e.g., set availability as 9:00–12:00 and 1:00–5:00)


How to Adjust Availability in Hellohire


Step 1: Log in to Your Hellohire Account


Go to https://www.tryhellohire.com and log in with your credentials.


Step 2: Navigate to the Jobs Section


Click “Jobs” in the upper-left corner of your dashboard. 


Step 3: Select a Job


Choose the job for which you’d like to set up virtual interview sessions.



Step 4: Open the Schedule Tab


1. In the right-hand menu, click the “Schedule” tab.


2. Under Interview Length, use the dropdown to set how long each interview should be.


3. Use the next dropdown to choose how many days in advance candidates can schedule interviews.



4. Click “Edit Calendar” to set your interview availability.


5. Click “Connect Calendar” to sync with Hellohire so candidates can book interviews based on your real-time availability without conflicts. 



Step 5: Choose a Scheduling Type


You’ll see two scheduling options. Choose one based on your preference:

Option 1: Bulk Scheduling (Back-to-Back Interviews)


This option allows you to set a block of time during which multiple candidates can be scheduled back-to-back.

How to set up:


1. Add your availability by selecting the days and times you’re available.

  • Click “+ Add Availability” to add more slots.
  • Click the trash icon to remove a time slot. 


2. Select your timezone from the dropdown menu.



3. Set Calendar Buffer Time — choose the amount of time (in minutes) between Hellohire sessions and other events in your calendar.



4. Set Hellohire Session Buffer Time — choose the time (in minutes) between back-to-back interview sessions.


5. Set Maximum Interview Time Per Day — define how many hours per day you’re available for interviews.



6. Set Minimum Scheduling Notice — decide how far in advance (in hours) candidates must schedule. 



7. Click Save to apply your settings.


Option 2: Individual Scheduling (One-on-One Sessions)


This option allows candidates to book individual interview times separately.


How to set up:


1. Add your availability by selecting days and times.

  • Click “+ Add Availability” to add more.
  • Use the trash icon to remove any slot.



2. Select your timezone from the dropdown.



3. Set Calendar Buffer Time — define the buffer time between Hellohire sessions and other calendar events.



4. Set Minimum Scheduling Notice — define how many hours in advance a candidate must schedule. 



5. Click Save to apply your settings.

Note: The Hellohire Session Buffer Time and Maximum Interview Time Per Day settings are not available in Individual Scheduling mode.


How to Confirm Your Availability

After saving your settings, open your scheduling link and verify that:

  • Blocked times do not appear as available

  • Only your intended availability is visible to candidates
