We understand that interview plans can change—whether due to candidate availability or internal scheduling conflicts. With Hellohire, cancelling an interview session and keeping your candidates informed is quick and straightforward.
Interview sessions are typically cancelled when there are no candidate registrations and you want to remove the session from public view.
While it's possible to cancel a session after candidates have signed up, this is not recommended unless absolutely necessary—for example, if a last-minute conflict prevents interviewers from attending.
Here’s how to cancel an interview session in just a few easy steps:
Step 1: Log in to Your Hellohire Account
Go to https://www.tryhellohire.com and log into your Hellohire account
Step 2: Choose How You Want to Cancel
You can cancel either:
- A session involving multiple candidates
- An individual candidate’s interview
Canceling an Interview Session for a Job
You can do this in two ways:
Option 1: Cancel from the Home Dashboard
1. Click “Home” in the top-left corner of your screen
2. Click the three dots (⋮) next to the job you wish to cancel
3. Select “Cancel interview session”
Option 2: Cancel from the Jobs Page
1. Click “Jobs” in the top-left menu
2. Select the job tied to the interview you want to cancel
3. Click “Schedule”
4. Under Interview Sessions, filter by “Upcoming”
5. Click the trash icon ?️ next to the session you wish to cancel
6. If applicable:
- Tick “Prompt candidate to reschedule their interview” to send them an invitation to book a new time
- Add a cancellation reason in the text box if desired
7. Click “Cancel interview session” to confirm
Canceling an Interview for a Specific Candidate
1. Go to “Jobs”

3. Locate the candidate in one of two ways:
Option A: Filter for Upcoming Interviews
- Click “Filter”
- Under Value, choose “Upcoming”
- Note that you can also filter the date
Option B: Search by Email
- Use the search bar next to the ? icon
- Enter the candidate’s email address
4. Once you've found the candidate:
- Click the three dots (⋮) next to their name
- Click “Cancel”
5. In the confirmation window, if applicable:
- Tick “Prompt candidate to reschedule their interview” to send a reschedule invite
- Add a reason if you’d like to provide context
6. Click “Cancel interview” to finalize
Additional Feature: Reschedule Button
1. Reschedule button is now available in the Candidate Report if the candidate’s interview status is:
- Upcoming: the candidate is qualified and has an interview scheduled in the future.
- No Show: the candidate did not join the interview at their scheduled time.
- Not Interviewed: the candidate joined the interview, but did not meet with an interviewer. This usually occurs in two scenarios:
The interviewer(s) were late or did not show up at all.
The candidate was unable to wait for their interview to start.
2. Interviewers will see a rescheduling link in their calendar event for interviews scheduled via Individual or In-person sessions.

- For individual and in-person interview sessions, this is what you see when you click on your calendar event as the interviewer:
3. For bulk-style scheduled sessions, the rescheduling link will not appear in the interviewer’s calendar event, it will only show the cancellation link. But interviewers can still reschedule a candidate by using the Reschedule button in the Candidate Report.

Important Note:
By cancelling the session, the candidates will automatically have their interview cancelled as well. They will get an automatic email letting them know the session was cancelled, and inviting them to check the registration page for the role to select another interview time (if available and if you have enabled the option for candidates to reschedule).
For your interview team, when an Admin user cancels the interview session, the assigned interviewers will also be sent an automatic email letting them know the interview has been cancelled.
Only the interviewers assigned to that specific date and time will be notified, which ensures the flow of notifications go directly to the people affected by the cancellation.
